The catch is that "refurbished" is not a regulated or standardized term. Two sellers can both list a "refurbished Neptune 3," and one may have done nothing more than wipe it down and take a photo, while the other rebuilt it to factory standard. The price gap between those two units is real — and so is the risk. This guide walks through exactly what to check so you can buy with confidence.

Why the factory PM matters more than anything else

If you take one thing from this guide, make it this: a genuine Stryker Factory PM is what makes a refurbished Neptune 3 dependable. It's also the claim you should scrutinize hardest.

KenMed Surgical is one of only three third-party companies in the country that we know of that can perform the complete Stryker Factory PM. Every unit we refurbish ships with that PM completed and a current Biomed PM tag documenting it, with the next service due in six months. That's not a detail — it's the whole point. A unit without a real factory PM is just a used machine with a fresh coat of paint.

How each KenMed Neptune 3 is refurbished

To make the standard concrete, here's what actually happens to a unit before it leaves our shop:

  • Cosmetic restoration: fresh paint, plastic recovery, and new stickers so the unit looks the part in your OR.
  • New filters installed as part of the unit, not billed separately.
  • New casters in most cases, so the unit rolls and locks like it should.
  • Full Stryker Factory PM, completed and documented with a Biomed PM tag.
  • Final wash cycle once the unit is reassembled, to confirm everything runs correctly before it ships.
  • Work-order printout included with every unit, so you know exactly what was done.

Don't forget the docking station

If your Neptune workflow relies on a docking station, refurbish or replace it alongside the unit rather than pairing a restored machine with a worn dock. We refurbish docking stations to the same standard, and they carry the same twice-annual PM requirement as the units themselves.

The 6 questions that separate a good unit from a bad one

Before you put money down on any used or refurbished Neptune 3, get clear answers to these six questions. They're the difference between a unit that serves you for years and one that becomes a service headache.

1. Are the filters new?

Filters are a real, recurring cost of ownership, and a used unit with tired filters is a hidden expense waiting to hit you. Many "as-is" listings ship with whatever filters happen to be installed. Insist on new filters included — not as an add-on, but as part of the unit.

2. Has it received a full factory PM — and who performed it?

This is the single most important question, because it's the hardest one for a seller to answer honestly. A complete Stryker Factory preventive maintenance is a rigorous, manufacturer-defined procedure, and only a small number of companies in the country are actually capable of performing it. Plenty of sellers say "serviced." Very few can say "full factory PM, completed and documented."

3. What was actually restored — cosmetically and mechanically?

Ask for specifics. A true refurbishment addresses both how the unit looks and how it runs: fresh paint, plastic recovery, new stickers, and often new casters, not just a surface cleaning. If a seller can't tell you what was replaced, assume nothing was.

4. Does it come with documentation?

Documentation is your proof that the work was done. A properly refurbished unit should arrive with a completed work-order printout detailing the service performed, plus a current Biomed PM tag showing the PM type, the technician, and the next-due date. If it shows up with no paperwork, you have no way to verify anything.

5. How will it be shipped?

This one gets overlooked constantly — and it's expensive when it goes wrong. Neptune units are sensitive to vibration, and a machine that's simply strapped to a pallet can arrive damaged even if it left the shop perfect. Look for a seller who palletizes on foam with custom L-boards to cushion and secure the unit in transit.

6. Is ongoing PM and filter supply available?

The Neptune 3 requires preventive maintenance twice a year. Buying from a partner who can also supply filters and perform that ongoing PM — ideally with travel already accounted for — turns a one-time purchase into a long-term support relationship instead of a scramble to find a technician later.

A refurbished Neptune 3 is a smart purchase when it's genuinely patient-ready: new filters, a complete factory PM, real cosmetic and mechanical restoration, full documentation, and shipping built around the unit's sensitivity to vibration.
